Privacy Policy

This Privacy Policy explains how Stagequill Media handles information in connection with its website, inquiries, remote content planning services, and related business communications. It also describes the choices and rights that may be available to individuals.

1. Scope of this policy

This policy applies to information processed through this website and during inquiries, proposals, project intake, service delivery, billing, and support. Stagequill Media provides remote content planning and strategy services, including consultations, topic research, editorial calendars, audience and content direction, website content planning, and social media content plans.

This policy does not govern a third-party website, application, payment provider, communication platform, or other service that publishes its own privacy terms. When a third party processes information under its own policies, that party is responsible for its practices.

2. Information provided directly

Information may be provided when a person contacts the business, requests a service, responds to a project question, approves a proposal, participates in a consultation, pays an invoice, submits feedback, or otherwise communicates about a project. Depending on the interaction, this may include:

  • name, business or brand name, job role, and contact details;
  • email address, telephone number, and preferred communication method;
  • requested service, listed price, timing preferences, budget context, and project description;
  • information about the intended audience, content goals, existing channels, website pages, social platforms, and available content resources;
  • files, planning notes, draft topics, brand guidance, reference materials, and feedback supplied for the project;
  • billing contact information, invoice details, payment status, and transaction references; and
  • communications, approvals, revision requests, and records reasonably necessary to administer the engagement.

Please provide only information that is relevant to the requested service. Do not submit payment-card data, account passwords, confidential credentials, sensitive personal records, health information, government identification numbers, or information that the sender is not authorized to disclose.

3. Website request form

The request form currently included in the website design validates required fields and displays a confirmation within the visitor’s browser. It is not represented as an online checkout or a guaranteed method of transmitting a request. Unless the website owner later connects the form to an authorized submission service and provides appropriate notice, completing that form alone does not create a service engagement, reserve availability, or confirm receipt by Stagequill Media.

A visitor who uses another available communication method may provide similar contact and project information directly. Information actually received through an authorized communication channel will be handled under this policy.

4. Information collected automatically

When a person visits the website, the hosting platform, content delivery network, security services, or other enabled providers may automatically process limited technical information. This may include an IP address, browser type, device type, operating system, language, approximate location derived from an IP address, referring page, pages viewed, timestamps, session activity, and diagnostic or security events.

Some of this information is necessary to deliver the site, maintain security, prevent abuse, diagnose errors, and understand basic site performance. Additional analytics will be used only if they are enabled by the website owner and, where required, after appropriate consent.

5. Cookies and similar technologies

The website platform may use cookies or similar storage technologies that are necessary for security, network routing, accessibility, session continuity, and site functionality. Browser controls can block or delete cookies, although disabling essential technologies may affect website functionality. Where a consent control is made available, visitors can use it to manage non-essential categories.

6. Purposes of processing

Information may be used to:

  • review and respond to legitimate service inquiries;
  • identify the requested service and prepare a proposal, statement of work, or invoice;
  • communicate about scope, timing, required inputs, approvals, revisions, and delivery;
  • provide the agreed content planning or strategy service;
  • organize project materials and maintain accurate business records;
  • process and reconcile payments through authorized service providers;
  • protect the website, communications, systems, and business from fraud, misuse, or security threats;
  • comply with tax, accounting, legal, and regulatory obligations;
  • establish, exercise, or defend legal rights; and
  • improve service administration, instructions, and website clarity using aggregated or appropriately limited information.

Information will not be used to create guaranteed marketing outcomes, make automated decisions that produce legal or similarly significant effects, or sell personal information for money.

7. Legal grounds where applicable

Where data-protection law requires a legal basis, processing may rely on one or more of the following: steps requested before entering a contract; performance of a service agreement; compliance with a legal obligation; legitimate interests in operating, securing, and administering the business; consent for a specific optional activity; or the establishment, exercise, or defense of legal claims.

When consent is the basis, it may be withdrawn for future processing. Withdrawal does not affect processing that was lawful before withdrawal. A request to withdraw consent may not prevent processing required for an existing contract, recordkeeping obligation, or legal claim.

8. How information may be shared

Information may be disclosed only as reasonably necessary to providers that support website hosting, cloud storage, email, document exchange, scheduling, invoicing, accounting, payment processing, security, and professional advice. These providers may process information under contractual terms or their own legally required policies.

Information may also be disclosed when required by law, lawful process, court order, or a valid government request; to protect rights, safety, systems, or property; to investigate suspected fraud or misuse; or in connection with a legitimate business reorganization, acquisition, financing, or transfer, subject to appropriate confidentiality and legal requirements.

Project materials are not disclosed publicly, used as a portfolio example, or attributed to a client without permission or another valid legal basis.

9. Payment information

Payments may be handled through an authorized bank, payment processor, or invoicing provider identified in the applicable invoice or payment instructions. Stagequill Media does not ask a client to enter payment-card information into the website request form. A payment provider may independently collect account, card, identity, fraud-prevention, or transaction information under its own terms and privacy notice.

10. Retention

Information is retained only for as long as reasonably necessary for the purpose for which it was collected and for legitimate legal, tax, accounting, security, dispute, and recordkeeping needs. Retention depends on the type of record, the status of an inquiry or project, applicable limitation periods, and legal obligations.

Unsuccessful or inactive inquiry records may be removed or de-identified when no longer reasonably needed. Contract, invoice, payment, and accounting records may be retained for the legally required period. Project working files may be removed after delivery and the applicable review period unless a longer period is agreed in writing. Backup copies may remain temporarily until they are overwritten through routine processes.

11. Security

Reasonable administrative, technical, and organizational measures are used to protect information against unauthorized access, alteration, disclosure, or loss. Measures may include access limitation, account authentication, software updates, reputable service providers, secure transmission where supported, and controlled record retention.

No website, email system, cloud service, or method of transmission is completely secure. Clients are responsible for using appropriate channels, protecting their accounts, avoiding sensitive credentials in project materials, and promptly reporting suspected unauthorized access relevant to an engagement.

12. International processing

Remote service providers and technology systems may process information in the United States or other countries. Those countries may apply privacy rules that differ from the rules in the individual’s location. Where required, appropriate contractual or legal safeguards will be used for restricted cross-border transfers.

13. Individual rights and choices

Depending on location and applicable law, an individual may have the right to request access to personal information, correction of inaccurate information, deletion, restriction, portability, or objection to certain processing. An individual may also have the right to withdraw consent and to complain to a relevant supervisory authority.

A request should identify the person, the relevant interaction, and the requested action. Reasonable verification may be required before a request is completed. A request may be limited or declined where permitted by law, including when records must be retained for contractual, tax, security, legal-claim, or other lawful purposes.

14. United States state privacy notices

Where an applicable United States state law provides additional rights, eligible residents may request information about certain processing, correction, deletion, or a copy of covered information, and may appeal a denied request where required. Stagequill Media does not knowingly sell personal information for money or use personal information for cross-context behavioral advertising through this website. If those practices change, this policy and any required choice mechanism will be updated before the change applies.

15. Children

The website and services are intended for business users and adults with authority to request services. They are not directed to children under 13, and personal information is not knowingly collected from children. If information is believed to have been submitted by a child, a parent or legal guardian may request review and deletion where applicable.

16. Third-party materials and links

A client may provide links or materials from third-party websites as project references. Stagequill Media does not control the privacy, accuracy, availability, or security practices of those third parties. The client is responsible for ensuring that submitted materials and personal information may lawfully be shared and used for the project.

17. Changes to this policy

This policy may be revised when service practices, technology, legal requirements, or website features change. The effective and updated date at the top identifies the current version. Material changes will apply prospectively unless law requires otherwise.
